Getting your farm up and running
How to load a whole farm from scratch, in the order each piece of data depends on the one before it. Load only the current state: whatever happens from today on gets recorded day by day — the past is never reconstructed.

Flows
Load your farm from scratch
Farm
Settings → Basics, Production and Legal: name, time zone, currency, milkings per day and their times, milk and cheese price. Check: the home dashboard shows the name and today’s date in your time zone.
People and roles
Settings → Members: invite each person with their role (manager, worker, viewer, vet, accountant) and, if you want, a last day of access (see Team and roles). Check: everyone signs in and sees the farm.
Suppliers
Settings → Suppliers: name and contact for each supplier. Check: they show up when registering a purchase.
Catalogs
Cheese inputs under Inventory → Cheesemaking → Cheese inputs, feed under Inventory → Feeding → Feed, medications (with withdrawal days) under Inventory → Health → Medications, and straws under Inventory → Reproduction → Semen straws. Still without quantities. Check: each catalog lists what you use.
Products and recipes
Cheesemaking → Production → Products & recipes: each cheese with its recipe (milk per kilo, inputs). Check: you can pick the product when registering a batch.
Health protocols
Settings → Protocols: vaccines and deworming with their frequency. Check: the health calendar shows the upcoming dates.
Herd
Animals → New animal (or Animals → Import form for large herds): name, ear tag, sex, birth date, mother and father if known. Check: the herd count matches the pen.
Current status per animal
On each record: reproductive status (open, bred, pregnant with a date) and lactation status (in production or dry). Check: Pending shows the expected calvings and dry-offs.
Initial stock
Inventory → Adjust: today’s quantity of each item, without loading past purchases. Check: the low-stock alerts make sense.
Nutrition plans
Nutrition → Plans: the ration per nutritional group (calves, heifers, lactating, dry and pre-calving) — each animal’s group is computed automatically from its status, never picked by hand. Check: Prefill suggests quantities in Consumption.
Branding
Settings → Branding tab: the farm’s logo and color. Check: the logo shows up on the home page, next to the greeting.
First week
Every day: milking in Milking → Milking grid, health events in Health, cheese batches in Cheesemaking → Production → Batches, sales in Sales and expenses in Finance → Expenses. Check: the home dashboard changes with what you record.
Review
Look at Home and ask the assistant: "how much milk did we give this week?", "who is under withdrawal?", "what is a cow’s family tree?". Check: the answers match what was loaded.
Frequently asked questions
In what order do I load the data?
The one in the flow above: first what depends on nothing (farm, people, suppliers, catalogs), then what uses it (recipes, protocols, herd), and last today’s status and stock.
What if I get a historical figure wrong?
Fix it on the corresponding record; the reports recalculate on their own. If it was an inventory movement, register an adjustment instead of deleting it.
How much history should I load?
None. Load today’s state (herd, pregnancies, stock) and start recording from today. Reconstructing the past costs a lot and adds little to decisions.
